Client social media approvals record a decision against a complete, inspectable content version, with material changes returned for another review.

Social media management platforms should keep a client's recorded decision attached to the content version the publisher will actually release.

Define what the client is approving

Client social approvals authorize a specific asset for a specific use under agreed conditions. The approval record should identify copy, media, destination account, relevant offer terms and intended timing. "Looks good" can be adequate conversational shorthand only when the surrounding record makes those details unambiguous. Without that context, the publisher may be unable to tell which version the client approved.

Agree on the decision authority during onboarding. A client contact may coordinate comments without being authorized to approve factual claims, offer conditions or publication. Name the responsible reviewers and their substitutes. Separate factual verification from final publication approval when the workflow requires both. This avoids asking a designer or account coordinator to silently take responsibility for claims outside their remit.

Make versions inspectable

Give each draft a version identifier or a clearly maintained history. Store the preview or exact content reviewed with the decision. Include linked destinations that materially affect the message, such as an offer page or signup route. A reviewer should be able to inspect the actual media and copy together, because a caption that is accurate alone can become misleading when paired with an outdated image.

Define material changes before the release window. Changes to claims, price, offer eligibility, media, destination or intended account commonly need another decision under the adopted workflow. Small punctuation corrections may be handled differently, but the rule should be agreed and visible. The operating recommendation is to prevent a meaningful revision from inheriting approval accidentally; verify how the actual tool represents that situation.

Document review access separately from edit access. The Google Drive: file sharing permissions [1] explains file sharing roles, which can help when the team uses documents as part of review. A comment permission is not a publication decision, and an editor's ability to change a file is not proof of client approval. Keep the decision record explicit whichever tool carries the discussion.

Handle comments and conditional decisions

Classify feedback as requested revision, question, approval, rejection or conditional approval. A question should not be interpreted as an instruction without resolving its intent. Conditional approval needs the condition, verification owner and required evidence. If the client says a post can proceed after checking a date, the publisher needs to see that date check completed before release.

Resolve contradictory feedback through the named client authority. Several reviewers may suggest incompatible claims or destinations. Preserve the comments, identify the conflict and obtain one decision through the agreed route. Do not combine the strongest promotional phrases from several comments into a new version no one has reviewed. The merged draft is another asset with its own review needs.

Establish a deadline and escalation route suited to the production schedule. Silence should have only the meaning explicitly agreed in the service process. If the process requires positive approval, lack of response leaves the draft pending. A calendar slot does not create authority to publish. Report pending decisions early enough that the client can act without a rushed release check.

Worked example: the approved copy changes

This hypothetical example uses an invented promotional post. Version A announces a demonstration session on October 14 and links to the registration page. The client approves the copy and image for one account. Before scheduling, the session date changes to October 16 and the team replaces the image. The old approval still exists historically, but it no longer establishes that the client reviewed Version B.

The account manager records the two material changes, checks the destination page and routes Version B to the authorized reviewer. The client responds with conditional approval pending confirmation of the session timezone. The event owner verifies that detail, and the record links the verification to the condition. The publisher now has a clear release basis for the actual asset and intended account.

After publication through the authorized process, the team checks the visible post and retains the relevant receipt. If the source state is uncertain, it investigates before attempting another release. The example concerns version and decision discipline; it does not claim that a named product automatically invalidates approvals, verifies conditions or prevents duplicate publication.

Use an approval release checklist

  • Confirm the client identity, intended account and authorized reviewer.
  • Identify the exact copy, media and destination version reviewed.
  • Record the decision and any conditions with their verification owner.
  • Resolve conflicting comments through the agreed client authority.
  • Inspect material revisions and apply the required review rule.
  • Check the schedule timezone and current destination before release.
  • Retain the publication evidence and investigate uncertain source states.

Choose checks the team can sustain at its workload. A manual version comparison may be suitable for a small queue if it has a visible owner and reliable record. Larger queues may need stronger tooling, but the requirement stays the same: approval must be connected to the asset released. Evaluate candidate software with a controlled revision scenario rather than assuming an approval badge proves the entire sequence.

Preserve the decision without overstating it

Keep historical approval records as appropriate, while making the current release state clear. A past approval can explain why an earlier version was published; it cannot justify every later use. Reusing an asset in a different market, account or paid campaign may require another review according to scope. Capture that decision rather than treating the original approval as unlimited permission.

Control review links and access to sensitive drafts. The OWASP Authorization Cheat Sheet [2] supports least-privilege authorization as a general principle. In this workflow, the independent operational recommendation is to give reviewers access to the material they need and verify the actual tool behavior. A review link sent to the right person can still be too broadly shareable if its settings were never inspected.

Approval also has factual limits. A client decision does not transform an unsupported claim into evidence, settle an unclear asset right or prove a provider's publication receipt. Keep factual sources, permissions and release verification as their own checks. The approval record establishes who authorized the specified use under the adopted process, which is valuable without making it responsible for every other requirement.

Frequently asked questions

Does an email approval count?

It can form part of the record if it clearly identifies the version, destination, reviewer and conditions under the agreed process. Preserve the relevant content and decision together. Ambiguous threads should be clarified through the existing approval route before release.

Must every small edit restart review?

Apply the agreed revision rule. Material changes need the appropriate decision; minor corrections may have a documented exception. The team should not invent an exception at publication time because the client is unavailable or the schedule is tight.

What if the client approves after the planned time?

Review whether the message, offer and destination are still current, then confirm a suitable release time through the adopted process. A late approval does not make the old schedule automatically appropriate or authorize a changed version the reviewer did not see.
